Assistant(e) de direction

We are looking for an Executive Assistant W/M to: 

• Assist the Executive Board members (or a department director) on assigned tasks in order to enable good organization and efficient functioning of a department
• Be the representative of your managers externally and towards other members of the Executive Board

You will work in close collaboration with the Executive team, Corporate, Department Managers and employees.

You will report directly to a member of the Executive team.

Main Activities:

• Assist the Executive Board members/department director
  • Guarantee service excellence (welcoming by phone or physical reception) among internal and external parties
  • Respond to requests and/or transmit to the appropriate person
  • Update documentation during team meetings
  • Provide general administrative support, complex calendar management, booking flights and hotels
• Provide administrative support to departments
  • Prepare and supervise the department’s budget (follow-up of invoices and budgetary imputation)
  • Organize teams’ seminars and trips
  • Supervise purchase requests/invoices in the department and input it in the information system
  • Manage and update databases ensuring information is correct (computer and physical)
• Lead projects autonomously 
• Be aware and actively involved in business activities

Directement rattaché(e) aux membres du comité de direction, notre futur(e) Assistant(e) de Direction H/F, aura pour missions de :

• Assister des membres du comité de direction ou un directeur de service dans ses missions afin de permettre la bonne organisation et l’efficacité du fonctionnement d’un département
• Assurer un rôle de représentation auprès d’interlocuteurs externes institutionnels / à l’entreprise et des autres membres du comité de direction.

Vous travaillerez en étroite collaboration avec les équipes du direction, corporate, managers, salariés.
